- Qualify it with a small set of consistent fields.

- Keep sensitive or high-value outreach under human review.
How to build it
Define the trigger
Choose the moment the workflow begins: form submission, inbound email, manual entry, or referral. Use one source-of-truth field so duplicate triggers are easier to spot.
Create the minimum lead record
Store name, contact method, source, need, owner, stage, and next-action date. More fields can wait.
Set the first response rule
Assign the lead and create a due activity. If you use an automatic acknowledgment, keep it factual and avoid pretending a person has reviewed the inquiry.
Add follow-up checkpoints
Create reminders for no response and a stale-lead alert. Stop the sequence when the lead replies, opts out, books, or becomes unqualified.
Measure the outcome
Track response time, leads with no next action, booked-call rate, and stale leads. The system is useful only if it changes the outcome.
